Privacy Policy

Last updated: July 14, 2026

1. Introduction

This Privacy Policy explains how Veralens, operated by [Legal entity name] (Veralens, we, us, or our), collects, uses, and protects information when you use our document and data extraction service. Veralens turns images and text you submit into structured data through an API and dashboard. This policy covers our website, API, and dashboard.

2. Information We Collect

  • Account data includes your name, email address, and, if you sign in with a third party provider, the profile identifiers and avatar that provider shares. Passwords are stored only as a secure hash, never in plain text.
  • Billing data includes your prepaid balance, usage ledger, and an identifier from our payment processor. Card details are handled directly by the payment processor. We do not store full payment card numbers.
  • Content you submit includes the images and text you send for extraction (your Inputs) and the structured results we return (your Outputs), along with related job metadata such as source type, target format, status, and timestamps.
  • Technical and usage data includes your IP address, browser and device information, session and authentication records, and API request metadata used to operate, secure, and meter the service.

3. How We Use Your Information

  • To provide, maintain, and improve the extraction service.
  • To authenticate you, manage API keys, meter usage, and process prepaid billing.
  • To secure the service, detect and prevent abuse, fraud, and other harmful activity, and enforce our Terms.
  • To provide support and to send you service related messages.
  • To comply with legal obligations.

4. We Do Not Train on Your Content

We do not use the contents of your Inputs or Outputs to train or fine tune machine learning models, and we do not require you to provide training examples. Your content is processed to perform the extraction you request. Where we rely on service providers to help run that processing, they operate under zero retention terms and may use your content only to return the result, never to train models. See Where Your Content Is Processed below.

5. How We Share Information

We do not sell your personal information. We share information only with service providers that help us operate Veralens, and only as needed to provide the service:

  • Cloud infrastructure providers for hosting, databases, object storage, and networking.
  • Payment processing to handle prepaid top ups and billing.
  • Inference services that run the extraction itself, as described in the next section.
  • Identity and security providers for optional social sign in and for bot and abuse protection.

We may also disclose information when required by law, to protect our rights and the safety of users, or as part of a merger, acquisition, or sale of assets, in which case we will continue to protect your information under this policy.

6. Where Your Content Is Processed

Running an extraction means your content leaves our own infrastructure. When a job runs, we send the content of your Inputs, together with the schema or prompt you supplied, to upstream inference services that process it and return a result to us. We then apply our own processing to that result and store the Outputs with your job.

Those services operate under zero retention terms: they process your content to return the result and retain no copy of it afterwards. They do not keep your documents, and they do not use your content to train models. These services may operate in countries other than the one where you live, as described in International Transfers below.

7. Data Security

We apply appropriate technical and organizational measures to protect your information. Traffic is encrypted in transit with HTTPS. Job payloads and API key secrets are encrypted at rest, and passwords are stored only as secure hashes. Access to production data is restricted. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security.

8. Data Retention

We retain account and billing records for as long as your account is active and as needed to provide the service, resolve disputes, and meet legal, tax, and accounting obligations. We retain the content and metadata associated with your jobs for as long as needed to operate and support the service. You can ask us to delete your account and associated content by contacting us, and we will do so subject to any records we are required to keep.

9. International Transfers

Veralens and our service providers may process and store information in countries other than the one where you live. Where required, we rely on appropriate safeguards for these transfers.

10. Your Rights and Choices

Depending on where you live, you may have the right to access, correct, delete, or export your personal information, to object to or restrict certain processing, and to withdraw consent. To exercise these rights, contact us at the address below. We will respond within the time required by applicable law. You may also revoke API keys at any time from your dashboard.

11. Cookies and Local Storage

We use essential cookies and local storage to keep you signed in and to operate the service. Our bot protection provider may set its own cookie to verify that requests are genuine. We do not use advertising or cross site tracking cookies.

12. Children's Privacy

Veralens is not directed to children and is intended for users who are at least 18 years old. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will take appropriate steps to delete it.

13. Changes to This Policy

We may update this policy from time to time. When we make material changes, we will update the date above and, where appropriate, provide additional notice.
